Fall 2018–Spring 2019 Policies

18-Week Semester Lessons & Classes

Semester Commitment

Your enrollment at Hoffman Academy of Music signifies your commitment to continue lessons for the fall and spring semesters at the day/time agreed upon at enrollment and to complete payment of the entire semester tuition (in full or in 5 equal monthly installments per semester) for both fall and spring semesters. Each semester equals 18 weeks of instruction. Please check our calendar for exact dates. Registration fees are non-refundable except in the unusual circumstance where a lesson time acceptable to both parties cannot be found during the scheduling process, in which case all registration fees and tuition payments already paid will be refunded in full. Cancellation notices must be provided to the Academy office in writing. If enrollment is cancelled on or before September 1, tuition payment will be refunded in full. After September 1, we are unable to accept Fall Semester cancellations and account holder is obligated to pay the entire Fall Semester tuition. Spring semester can be cancelled between November 28 and January 3 with no penalty. If Spring Semester is cancelled between January 4 and January 31, a $25 cancellation fee will be incurred. After February 1, we are unable to accept Spring Semester cancellations and account holder is obligated to pay the entire Spring Semester tuition.

Tuition Payment

The first tuition installment and annual registration fee are due upon enrollment. To secure your lesson time, we ask that your first tuition installment and registration fee be paid within 48 hours of enrollment. You may choose to pay for the entire semester up front, or you may make payments in the five equal monthly installments. Monthly tuition installments are due the 1st of each month, if monthly tuition installment is not received by the 10th of the month, a $15 late fee will be assessed. If the Academy cannot cash a check or withdraw an auto-pay payment due to insufficient funds, a $25 NSF fee will be assessed.

Payment Options

Account holders can pay the semester tuition, in full or in equal monthly installments. Payments can be made by Auto-Pay, online credit card payment(s) initiated by account holder, or personal check. A $25 per semester discount per student enrolled in an 18-week class or lesson will be given to account holders paying monthly by Auto-Pay, or paying for the full semester by cash or personal check.

Missed/Cancelled Lessons

Student Cancellations: Make-up lessons are not offered if lessons are missed or cancelled by the student. If you know in advance you will need to miss a group or partner lesson, please notify your teacher so that they can provide an emailed assignment for that week (48 hours notice is appreciated).

Tardiness: If a student is more than 15 minutes late to a lesson or class, they are considered a no show.

Teacher Cancellations: If your teacher has to cancel a lesson for any reason, that lesson will be rescheduled at a time convenient for you and the teacher.

Substitute Teacher: If your teacher is unable to attend a lesson, the Academy may opt to provide a qualified substitute teacher for that lesson.

Snow Days: When driving conditions around the Academy appear dangerous due to weather, for the safety of our students and employees, we may choose to close the Academy for that day. A closure notification will be emailed to students and posted on the Academy website no later than 2pm on the day of the closure. When the Academy is closed due to inclement weather, instead of a live lesson, private and partner lesson students will be offered a video lesson with their teacher at the same day/time as their regular lesson. Group class students will be offered an online video check-in with the teacher and an online assignment. No make-up lessons will be given for snow days, even if the student chooses not to participate in an offered video lesson.

Code of Conduct

At Hoffman Academy, we seek to create a learning environment based on mutual respect between students, parents, and teachers. If a student’s behavior is disruptive to a class or is disrespectful to a teacher or fellow student, the student’s teacher will notify a parent to discuss the issue and possible solutions. Our hope is that with good communication the issue can be resolved. If the problematic behavior persists, Hoffman Academy reserves the right to cancel the student’s enrollment. If enrollment is cancelled due behavior issues, Hoffman Academy will refund 50% of the remaining tuition for the semester.

Come Together Week

Two times each semester a special group class will be held in place of the regular weekly lesson. Come Together Week classes are 60 minutes in length, with 4-8 students in each class. Parents should not attend Come Together Week classes. The schedule for Come Together Week classes will be announced at least 2 weeks prior to the class, and students will be given the opportunity to reschedule if necessary..

Tuition and registration/materials fee are due in full upon enrollment. Receipt of your payment reserves your placement in the class for which you have registered. If you cancel 11 days or more prior to the first day of class, 100% of the tuition will be credited toward a future class at the Academy. If you cancel 10 days or less prior to the start of the session, we will be unable to provide a credit or refund. Registration/materials fees are non-refundable. All cancellation notices must be provided to the Academy office in writing or sent to office@hoffmanacademy.com via email.

Summer 2018 Policies

Camps, Lessons & Classes

Tuition Payments

Tuition and registration fee is due in full upon enrollment. Receipt of your payment reserves your placement at the Academy.

Refunds

Camps & Group Classes: Each camp & group class registration is subject to a $25 cancellation fee. If you cancel 22 calendar days or more prior to the start of camp, the total tuition is refundable minus the $25 cancellation fee. If you cancel 15-21 calendar days prior to the start of camp, 50% of the tuition will be refunded. If you cancel 8-14 days prior to the start of camp, 30% of the tuition will be refunded. If you cancel 7 days or less prior to the start of camp or class, no refund will be given. All cancellation notices must be provided to the Academy office in writing or sent to office@hoffmanacademy.com via email.

The Academy reserves the right to cancel a camp or class if 2 weeks prior to the start of camp fewer than 4 students have enrolled. If a camp or class is cancelled due to low enrollment, Academy will provide a full refund.

Lessons: If enrollment is cancelled on or before June 1st, tuition payment will be refunded in full. After June 1st tuition payments are non-refundable. Registration fees are non-refundable except in the unusual circumstance where a lesson time acceptable to both parties cannot be found during the scheduling process, in which case all registration fees and tuition payments already paid will be refunded in full.

Missed/Cancelled Camps, Lessons & Lessons

Camp & Group Classes: Make up lessons are not offered for missed days of camp or class.

Lessons:  Summer lessons follow a flexible schedule and will be jointly scheduled by the teacher and the student at the beginning of the summer. After summer lesson schedule has been finalized, student may cancel/reschedule up to one lesson if necessary. Lesson must be cancelled by directly contacting the teacher at least one week prior to originally scheduled lesson.

Substitute Teacher: If your teacher is unable to attend a camp or lesson, the Academy reserves the right to provide a qualified substitute teacher for that lesson.

Teacher Cancellations: If your teacher must cancel a camp or lesson for any reason, and a substitute teacher cannot be arranged, a make-up lesson will be provided.

Coaching Policies

Payment

Your first coaching session payment is due at the time of registration. After payment for the first single coaching session, following single coaching sessions are payable at the time of the session.  If buying the package of 6, payment for all 6 sessions is due at time of registration.  Accepted forms of payment are cash, check, auto-pay or on-line credit card.  We encourage customers to sign up for auto-pay, which allows us to automatically deduct your coaching session(s) payment from your checking account on the 1st of the month. To sign up for auto-pay, complete an auto-pay form and submit it to the Academy office along with a voided check.

Missed/Cancelled Lessons

Student Cancellations:  If a scheduled coaching session cannot be attended by the coaching student, student must notify teacher directly via email/text 24-hours before coaching session to cancel/reschedule session.  Contacting the office is not acceptable.  If less than 24-hour notice is provided, the student will not be able to reschedule the session and the tuition for this session is forfeited.

Teacher Cancellations/Academy Schedule Changes:  If your teacher has to cancel a coaching session for any reason, that session will be rescheduled at a time convenient for you and the teacher.    Coaching Sessions scheduled in advance may need to be rescheduled by the Academy if a semester student requests the lesson time (semester students receive priority scheduling).  The Academy will provide coaching students at least 24-hour notice under these circumstances.

Substitute Teacher:  If your teacher is unable to attend a coaching session, the Academy reserves the right to provide a qualified substitute teacher for that session.

Come Together Week (Optional)

Four times between September and June a special group class will be held in addition to your scheduled coaching sessions. Come Together Week classes, (CTW), are 60 minutes in length and are taught by a team of Academy teachers, with 4-8 students in each class based on age and experience. The schedule for Come Together classes will be announced 2 weeks prior to the class.  Students will be given the opportunity to reschedule if necessary.  There is a $10 non-refundable fee.  Must enroll for package of six coaching sessions to participate in CTW(s).

Recitals (Optional)

Recitals are held in January/February and June. There is a $10 non-refundable fee per recital.  Student must enroll for package of six coaching sessions to participate in recitals and obtain teacher approval.

Curriculum (Optional)

There is a $25 non-refundable material fee per year; renewable each September.


Photo Release (Optional)

The Academy occasionally takes photographs and videos at lessons and events to use in promotional materials. I hereby grant Hoffman Academy of Music permission to use images and/or sound recordings of the enrolled student in brochures, websites, videos, posters, advertisements and other promotional materials the Academy creates. Note: Your privacy and safety are of the utmost importance to us. We do not attach names or other individual identifiers to any images used for promotional purposes.
